Scaling Fast: Our Journey from Startup to Operating in 14 States and Growing
Seven months ago, it was just the two of us—Katie and Keith—scheduling inspections and emergency tarps for a 15-tech crew in central Florida, armed with nothing but determination and a few trusty spreadsheets.
Fast forward to today, and Fox Claims is operating in 14 states locally staffed and a specialized CAT team, a custom CRM, a scheduling app, and a fully developed training system custom built for inspectors. It’s been a whirlwind, but every step has been intentional—and we want to share the journey that got us here.
From Spreadsheets to Smart Systems
In the early days, spreadsheets were our lifeline. We tracked jobs, assigned techs, and coordinated schedules manually. It worked—but barely. As our workload grew, it became clear: we needed to build something to streamline our process and give us back our lives.
So, we rolled up our sleeves and built:
-
A custom CRM to streamline everything from client communication to internal operations.
-
A scheduling app for iOS and Android and integration into our website that cut down on coordination chaos and improved response times.
-
A full-scale training course to ensure every new tech is ready to meet our standards from day one.
These tools didn’t just help us keep up—they helped us get ahead.
Building Our CAT Team
One of the most game-changing decisions we made was creating a dedicated CAT team.
We handpicked experienced professionals who could thrive under pressure—people who know what it takes to show up, suit up, and get the job done when disaster strikes.
Today, our CAT team is capable of deploying to hurricane zones and assisting customers with inspections, emergency services, estimates. They’re fast, efficient, and deeply committed to helping communities in crisis.
Operating in 14 States
Expanding into 14 states in under a year wasn’t luck—it was strategy.
We identified high-demand markets, built relationships with customers, and made sure we understood each customer’s needs. Technology gave us the edge, but relationships and reputation made the growth sustainable.
Some of the keys to scaling included:
-
Forming strategic partnerships with the customer and their customer.
-
Launching targeted marketing campaigns.
-
Staying agile and responsive with tech that let us work smarter, not just harder.
Each new state came with its own challenges, but our commitment to quality and consistency helped us adapt quickly and serve effectively.
What’s Next
This journey has been intense, inspiring—and honestly, we’re just getting started.
Every inspection, estimate, and tarp job is a chance to raise the bar, and we’re committed to doing exactly that. We’re currently building out our drone department, and we’ve completely revamped our photo and scope reports by integrating the power of AI to deliver a more streamlined, professional product to our clients.
These upgrades—along with several other exciting tools in the pipeline—are rolling out in the days ahead.
If you’re looking to partner with a team built for speed, scale, and quality—let’s talk.
We’re Katie and Keith, and we approve this message.
